HRDMS (Human Resource Data Management System)

HRDMS (Human Resource Data Management System) is a tool that connects human resource process through HR software. HRDMS helps to revolutionize a workplace in the organization, it is a flexible and efficient tool for Human Resource management. The primary objective of HRDMS is to improve the efficiency of HR processes by reducing the paper work, minimizing the communication gap, increasing the productivity and also improving the quality, thus making HR processes cost and time effective.

Automation of the routine activities in HR management using HRDMS, frees up resources for the HR professionals to work on the development and continuous improvement of the processes; it maintains and monitors all the HR and Employee activities of an organization. It seamlessly integrates all the aspects of Organizational & Human Capital development and improves the performance and accountability by providing a matrix of intelligent processes and a structured work flow to accomplish Strategic Goals. It will improve the overall profitability through effective monitoring of workforce. Also helps the HR team to identify cause of occurrence of specific actions, their business impacts & take corrective measures as need be.

HRDMS is browser based application developed using JAVA/JSP technologies with power of RDBMS like MySQL as backend and can be seamlessly used by employees over internet.

Following are the salient features:

  • Helps Organization to manage their activities like Recruitment, Employee management (tracking employee history, education, skills, perks, Family details, Education details and accomplishments), Attendance and even Separation from the organization.
  • Full cycle of Recruitment i.e., from candidate selection, interview status, shortlisting and finally become an employee, can be maintained within the application.
  • Different types of employees like permanent, contract or internship can be easily segregated and managed. Documents related to a candidate/employee can be maintained independently.
  • Employee’s engagement with the company like position held (position title), position assigned, reporting manager, and agreements signed, probation period, confirmation date, salary package and review periods.
  • Latest org chart with all positions within an organization can be defined and maintained. Org chart for previous years can be maintained as well.
  • Skill status and updates of an employee can be managed through the project activity updates.
  • Time and Attendance module enables an employer to have full control of employee’s working hours, provides insights into their productivity/performance and to control labour costs.
  • Dedicated calendar for each location can be defined.
  • Option to personalize the application response/correspondence to the user.
  • Roles can be assigned from one employee to another irrespective of the hierarchy for the defined period.
  • Separation and its history can be maintained for an employee.
  • Reports can be generated & downloaded (data and their graphs) in the form of PDF or Excel
  • Option to define user friendly queries to retrieve the data.
  • Save the custom queries as private/public so as to make it available for self/all.

ORGANIZATION CHART

ORG CHART module makes HRDMS a unique system as it connects the resources with the organization’s business plan for the business year.  It gives a graphical representation in the form of chart to understand the structure and hierarchy of the organization with departments, sub-departments, department heads and subordinates.

It provides the role to be played by each resource, position workload, which team a position working with, the job description of the role, reporting structure, allocated budget information and the connection of the role with others in the structure of organization designed to implement the business plan for the year.

Reports can be generated to comprehend the history of the position and the roles that have been played by the employee’s while in the organization. It is also flexible in providing an option for bulk/partial movement of employee details from/into the system.

HRDM

HRDM – Human Resource Data Management, is the base module of HRDMS system. It is like the centralized HR repository for the HR department and they can manage the history of all the employees through this module like

  • Employee personal details
  • Contact information (phone, e-mail, etc)
  • Education details
  • Positions holding within the organization with the reporting manager
  • Financial details

It is also flexible in providing an option for bulk/partial movement of employee details from/into the system. Also supports creating custom query based on user requirement to retrieve the relevant data. Such queries can be stored as private/public and can be made available for others to use.

Custom profile can be generated for an individual which can be shared with the customer for onsite requirement.

PROJECT OFFICE

A good project management will help an organization to build good clientele and hence build skilled employees. It provides an option to record the time spent by an employee for each activity within the specific projects. An employee’s skill progress can be monitored based on the learning and the time spent on specific technology.

Project module helps in creating, editing, maintaining, and monitoring as well as resource allocation to the projects at different life-cycle stages.

Reports with graphical views have been provided to track and monitor the time spent by each employee on different projects. These reports give the exact picture and state of the project and resources allocated to them at any time.

RECRUITMENT

Recruitment module will enable the recruitment team to capture the details of the interview candidates. It has an option to capture the recruitments activities against a position or for an open position (Open position option is for the candidates who are good at certain skills and can be considered for future requirement). Shortlisted candidates can be moved directly into HRDM module during the time of joining. Because of this transition, each employee will have the respective recruitment history.

It has reports that describe the process and status of the recruitment activities against each recruiter. It also describes the strike rate for number of induction within the organization, offers given to the candidates and interviews held in a particular year etc.

Recruitment module also has a feature to archive the records that may need attention in future. Robust search engine helps to retrieve suitable profiles based on different criteria.

TRAINING

Supporting the development of your resources is an important part of organization’s resource management. It has features to view and keep track of the skills of the employees. Reports can be generated to check the skills and proficiency levels of each employee.

LEAVE/TIME-OFF MANAGEMENT

Leave management of the organization can be managed in this module. All the leaves of an employee to which he/she is eligible will be credited and monitored.

Leave Request is a process where employees can submit requests for vacations. This workflow will complete successfully only when all the conditions in the process are met, meaning the leave is approved by the respective reporting manager.

Reports will clearly provide the overview of the leaves taken by an individual, balance available under each category.

SEPARATION

Separation module enables HR department and managers to track the entire separation processes all through the separation process life cycle. Different stages of separation can be managed through this module. It has a provision to manage Contract Compliances, financial settlements and Exit Interviews.

Separation module is supported by powerful reports that will enable the organization to analyse the separation.

SYSTEM ADMIN

System Admin module has features to manage user accounts, permission templates,  users access,  application defaults like company data, all default data etc.

Roles can be assigned from one employee to another irrespective of the hierarchy for the defined period with same or reduced permissions.

REPORTS

Reports are grouped as per the report accessibility/functionality. Various reports are present throughout the application which can be downloaded in the form of pdf/excel.
